NICKI AI is designed for use by licensed color professionals, beauty institutions, and enterprise partners. By using the Software, you affirm your professional alignment. Unlicensed users are not authorized to access or engage with this platform.

3. What We Collect

3.1 Stylist Profile Data

Name, email, salon affiliation, and license status (optional verification). Used to personalize your interface, training behavior, and AI memory.

3.2 Image & Tone Data

Live camera captures or uploaded images of hair. Images are stored temporarily (30 days max unless saved) for formulation, fade prediction, or visual reporting.

3.3 Inventory Interaction

Logs of what products are used, substituted, depleted, or recommended. No financials are tracked.

3.4 Voice & Input Behavior

Voice commands (if enabled) are analyzed for tone and behavior optimization. NICKI AI does not store audio files. Transcripts are anonymized and encrypted.

3.5 System Behavior & Pattern Recognition

Overrides, selections, frequently chosen developers or tones are observed by the Mega Model for pattern recognition and personalized evolution.

4. How We Use Your Data

We utilize the collected data exclusively to enhance your professional capabilities:

• Deliver personalized, real-time formulation support tailored to your preferences and client needs.
• Adapt to stylist behavior over time via NICKI’s Mega Model, refining its understanding and suggestions.
• Generate predictive correction suggestions and timely inventory alerts based on usage patterns.

• Help you formulate smarter, faster, and with reduced decision fatigue, empowering your artistry.

5. Data Sharing: Limited, Respectful, Controlled

We uphold a strict policy against selling, renting, or monetizing your professional or client data. Data sharing is limited to the following necessary circumstances:

• With trusted third-party service providers who enable essential infrastructure components such as AWS hosting, secure voice processing, or cloud storage, operating under strict confidentiality agreements.
• To comply with legal obligations, lawful requests from public authorities, or to protect our rights and property.
• For professional credential verification purposes, only if this feature is explicitly enabled by the stylist.

No brand, manufacturer, or external agency gains access to your specific formulas or client data unless you explicitly opt into an approved partner integration (e.g., a direct reordering API connection).

6. Data Security & Infrastructure

Protecting your data is paramount. We employ multi-layered security measures built upon robust infrastructure:

• Data is encrypted during transmission using industry-standard protocols (TLS 1.3).
• Data is encrypted at rest using strong algorithms (AES-256).

• Strict data lifecycle policies are enforced, including automatic deletion of image storage after 30 days unless explicitly retained by the user.
• Fine-grained AWS IAM permissions ensure strict access control, segregating stylist, salon admin, and system administrator privileges based on the principle of least privilege.
• Comprehensive access and activity logging is maintained via AWS CloudTrail for auditing and security monitoring.

7. Your Rights

As a user of NICKI AI, you maintain control over your data. You have the right to:

• Request access to the personal and profile data associated with your account.
• Delete any or all QR reports, saved images, or other elements comprising the stylist memory associated with your profile.
• Opt out of long-term image storage beyond the default 30-day temporary period.
• Request anonymized data exports for salon-level reporting or analysis, where applicable.
