NICKI AI
1. A simple promise
NICKI AI is built to support professional decision making, not extract value from your data. This policy explains what we collect, why we collect it, how we protect it, and what you control.
NICKI AI is operated by LevAI, Leveraging Alternative Intelligence Technology Hub, LLC. NICKI AI is designed for professional use in salon environments. It is not designed for consumer end users.
2. What we mean by privacy and trust
- No surveillance: NICKI AI is not a monitoring system.
- No ranking: NICKI AI does not rank, score, or compare stylists.
- Purposeful collection: we collect only what is needed to operate the product and improve outcomes.
- Control: you can request access, export, and deletion of your data as described below.
- Honesty: when something is unavailable or uncertain, the system should say so clearly.
3. Information we collect
3.1 Account and profile information
Name, email, and salon or role information that you submit through our forms or onboarding flows. If you choose to provide professional credentials, we may store the information you submit for verification and account integrity.
3.2 Client and service context
Notes, formulas, outcomes, and service context you enter for professional continuity. NICKI AI is designed to store understanding across visits, so consistency does not depend on memory alone.
3.3 Images and visual inputs
If you use vision features, we process images you capture or upload. Images may be stored temporarily to support analysis, reporting, and continuity, subject to the retention settings described in this policy.
3.4 Inventory and operational data
Inventory items, product usage, deductions, substitutions, and alerts. This information supports gram-level tracking, reorder planning, and inventory-aware recommendations.
3.5 Usage and device information
Basic technical logs such as timestamps, device type, browser type, and error logs. These help maintain reliability, security, and performance.
3.6 Voice and chat features
If voice or chat features are enabled, we process the text needed to respond. We aim to minimize retention of raw audio. Where transcripts are stored for functionality, we describe it in the retention section below.
4. How we use information
- To provide the core service, including analysis, formulation assistance, and reporting.
- To maintain client and stylist continuity through memory features you choose to use.
- To run inventory tracking, alerts, and inventory-aware recommendations.
- To secure accounts, prevent abuse, and maintain system integrity.
- To improve the product based on aggregated performance and reliability signals.
We do not use your data to build advertising profiles. We do not sell personal data.
5. How we share information
We do not sell or rent your personal data. We share information only in limited situations:
- Service providers: infrastructure, hosting, storage, security, email delivery, and similar vendors that support operations.
- Legal requirements: if required to comply with applicable law, regulation, or lawful request.
- With your direction: if you choose to enable an integration or share a report externally.
If a partner integration exists in the future, it will be opt-in and clearly described at the point of use.
6. Security practices
We use a layered security approach designed to protect confidentiality, integrity, and availability of your information. Practices may include encryption in transit, encryption at rest, access controls, role-based permissions, logging, and monitoring.
No security program can guarantee absolute protection. If we become aware of a security incident involving your personal data, we will take steps to investigate, contain, remediate, and notify affected users as required by law.
7. Retention and deletion
We retain information for as long as needed to provide the service, meet legal obligations, resolve disputes, and enforce agreements. Default retention can vary by feature and tenant configuration.
| Data type | Typical retention | Your control |
|---|---|---|
| Account and profile information | While your account is active | Request access, correction, export, or deletion |
| Client formulas and reports | While you choose to keep them for continuity | Delete reports and client records as available in product tools, or request deletion |
| Images used for vision features | May be temporary or saved depending on feature and your choices | Delete where available, or request deletion and retention preference changes |
| Inventory records | While the salon uses the inventory system | Manage within inventory tools, or request removal when ending service |
| Security and reliability logs | Limited period appropriate to security and operations | Not typically user-editable, may be deleted per retention schedules |
If you want a specific retention setting documented for your salon or organization, contact us and we will confirm what is currently supported.
8. Your rights and choices
Depending on your location, you may have rights to access, correct, delete, or export your personal information. You may also have the right to object to or restrict certain processing.

We may use cookies or similar technologies to keep you signed in, remember preferences, and understand basic site performance. Where analytics are used, we aim to keep them privacy-respecting and focused on reliability rather than profiling.
10. International users
If you access NICKI AI from outside the country where our servers are located, your information may be transferred and processed in other jurisdictions. We take steps intended to protect your information consistent with this policy and applicable law.
11. Updates to this policy
We may update this policy to reflect product changes, legal requirements, or security improvements. If changes are material, we will post the updated policy and update the effective date.
